Work Schedules

The Work Schedules defines the time at which an employee will be working, it has a full influence on the appointment of hours in tasks that have a set appointment (to indicate the amount of hours within the working period that the user has dedicated to a task). To access the Conferences register, go to Administration > Work Schedules, then the following screen will be available:

To add a new Work Schedules, click New Schedule: 2

Then the new journey registration screen will be available:

  1. Name: Enter a name for Work Schedules.
  2. Description: Inform if you feel a description for the Journey is necessary.
  3. Consider system holidays as recess days: This option relates the Work Schedule to the holidays registered in Administration > Holidays. This directly influences the appointment of task hours. So that tasks do not allow appointment in days of recess.
  4. Make this schedule the system default: This journey will set standard times for users when enrolled.
  5. Format of the Work Schedule: Set whether to default to Weekly or Calendar

Standard Weekly Journey

The Weekly Standard Journey has the following format:

It sets up schedules that will persist for every week, that is, it is suitable for users who have a fixed routine.

To add a new time, click on the (+) icon for one of the days:

Then it will introduce the time setting:

In it you can set the start day and time, in addition to the day and end time of the activity, as follows:

At the end of the setup, click Save, and this time will be set up in the Journey:

Repeat the procedure for the remaining desired days.

Attention: Note that at each set time, the green arrow indicates the start time, while the red arrow indicates the end time.

You can't add two times that overlap each other. For example, in the previous situation when trying to add a time that starts at 11:00 AM and ends at 13:00 PM, it will not be possible because the 11:00 AM time is included in the previously registered time:

At the end of the Journey registration, click Save.

Standard Journey Calendar

The Standard Calendar Journey has the following format:

It sets particular times for each day, that is, it is suitable for users who have a random routine.

To add a new time, click on the (+) icon for one of the days:

Attention: Days past your current journey setup date will not be available to add time. For example, if the current day is 06/04/2020, days prior to that will not be available.

Then it will introduce the time setting:

In it you can set the start day and time, in addition to the day and end time of the activity, as follows:

At the end of the setup, click Save, and this time will be set up in the Journey:

It is possible in the Calendar journey to replicate a certain weekly routine to other dates, for this purpose access the week icon:

It will be possible to replicate to:

  • Next week
  • Next weeks of this month
  • Next weeks of this year
  • Week: In which you can select a specific week of the year, according to:

Attention: This option will only be available weeks of the current year.

It is also possible to navigate between months, just click on the arrows indicated next to the current month:

At the end of the Journey registration, click Save.

Searching Journeys

On the screen that includes the list of Work Days, it is possible to search among them:

Simply enter a search and click on the magnifying glass, or press Enter:

To undo a search, click the (x) icon:

Ordering Work Schedule

You can order journeys according to their name or creation date, in both ascending and descending format:

Editing and Deleting Work Schedule

To edit or remove a work schedule, go to the options available next to the journey name:

When you select the Edit option, the journey will be available for editing:

When you select the Remove option, the journey will be removed.

Attention: If the journey in question is related to a user's registration, it cannot be deleted:

Adding Work Schedule for a User

To select a work schedule for the user, go to the user settings under Administration > Security > Users, click the “Edit” options (on the chosen user). Go to the Organizational tab, then just click on the Work Schedule field which it will expand according to the image below:

In the work schedule model, all registered journeys for choice will be available:

Suppose a user has a work schedule that starts at 8:00 AM, has a break from 11:00 AM to 1:00 PM, and ends at 6:45 PM, Monday to Friday:

If this user has a task with time appointment set to automatic, and he puts the task in progress at 8 AM and closes the appointment at 2 PM, then the task in progress icon was active for 6 hours in a row, but only 4 hours will be pointed out in the task, this is due to the workday that has a two-hour break (11:00 AM to 1 PM). If the appointment is outside the workday period, the user will be notified.

Attention: The journey have an influence on notes of hours in activities of a process. To set up a work schedule, go to Administration > Work Schedule.
